Purpose Of the role

Part of the Freight Team, responsible for all aspects of Import, Export and Domestic Freight.  This is a hands-on role requiring a working knowledge of Customs Legislation in this area of business.

Main Responsibilities:

  • Control of costs and negotiation of freight rates with third party providers.
  • Arrange quotations for export customer services as required.
  • Management of supporting documentation and relevant database for “Suppliers’ Declarations”.
  • Update stock database on Business Central for all users.
  • Audit system records for VAT requirements.
  • Ensure export personnel and files are compliant with current HMRC regulations.
  • Provide guidance on export requirements, i.e. documentation; customs controls; Incoterms, wooden packaging regulations, commodity codes, customs updates etc.
  • Liaise with transport providers regarding any transportation issue.
  • Oversee domestic shipments via group providers.
  • Liaise with providers regarding any service complaints or damage issues.
  • Ensure all insurance claims are processed for DIT/Losses within set timescales.
  • Supervise costs against set tariffs - sign off transport invoices.
  • Provide quotations and assistance on domestic shipments for Customer Service teams including same day and timed deliveries.
  • Control of costs and negotiation of freight rates with third party providers.
  • Plan and instruct carriers to meet transport requirements and prepare relevant booking confirmations and documentation on EXW/FOB/CIF terms from European and International suppliers.
  • Process documentation for import shipments providing agents with clear and accurate customs clearance instructions.
  • Monitor and control flow of import documentation to avoid rent and demurrage charges.
  • Expedite shipment status information through to final delivery.
  • Keep accurate detailed records of import shipments in transit.
  • Liaise with all warehouse locations regarding planning and scheduling timed deliveries.
  • Provide advice and guidance to purchasing team re transport requirements, costs, Incoterms and documentation requirements.
  • Calculate and record landed cost.
  • Audit import files ensuring all records are correct and complete and in line with government guidelines.
  • Obtain suppliers declarations for import purposes and update products on Business Central and control database.
  • Locate relevant product commodity codes and instruct clearing agents.
  • Liaise with transport providers regarding any transportation issues
  • Assist in other day to day import requirements.

These are the main functions of the job but employees may be required to carry out other duties as may be reasonably required.

Personal Specification:

  • Be a good team player with strong communication and ICT skills.
  • Have experience in a similar role.
  • Be highly organised with a methodical approach.
  • Have the ability to prioritise workload in order to meet tight deadlines.
  • Be familiar with all forms of Export & Import Documentation inc, Incoterms, HMRC Regulations.
